ACMWO Reservations
The Academy for Creative Media Student Facility features post production suites, an incubator space, and computer labs for student and community reservations.
Room Reservations
- Keep the area around you tidy and clean before leaving.
- Wear headphones during your session so you don’t bother others around you.
- Make sure you log out of any site or application (ie Adobe CC, emails, etc) you have logged in.
- No food or drinks allowed into the computer or classroom area.
- Place any food or drinks you may have in the designated area.
- Food and/or drinks must be consumed in the lobby or outdoor spaces.
- The staff/faculty of ACM West Oʻahu (ACMWO) reserve the right to deny service to anyone.
- Unruly and disruptive behaviors will not be tolerated.
- 3 verbal or written warnings and access to these spaces will be denied until the following semester.
- Check in with ACMWO Staff Member at the Reception Desk
- Present your UH ID as well as your ACMWO ID to the desk and the check in station.
Staff members will verify that you are currently a registered ACM Student. - Staff members will take your ACMWO ID, give you a workstation number card to be displayed on the respective computer number holder, and let you into the space.
- Make sure you tidy up your computer station before leaving and sign out of any site or application (ie Adobe CC, emails, etc) you have logged in.
- See the ACMWO Staff member at the front desk to return your workstation number card to retrieve your ACMWO ID.
- Reservations are open Monday – Friday from 10am – 4pm.
- There are room capacity limits and we are requiring 24 hours reservations. Reservations are on a first come, first serve basis.
- 2 hour time limit.
Room Reservation Forms
The reservation forms below are for current ACM West O‘ahu students only. For all others please go to the Food Services and Events page.
Student Equipment Reservations
- Reservations need to be made at least 24 hours in advance. Do not wait until the last minute. Reserve your equipment as soon as you can. Reservations will be honored subject to class priority, on a first come first served basis.
- To Reserve Equipment, Student will fill out ACMWO Student Equipment Reservation Form.
- Once the form is submitted, it will take up to 24 hours for the approval process. Media center will check availability of equipment and will contact the respective instructor for approval.
- If reservation is approved, Student & Instructor will receive a google calendar request confirming their reservation time and request. If reservation is not approved, the Media center will Notify the Student & Instructor to make new reservation arrangements.
- ACMWO equipment cannot be taken off campus. For very special circumstances, any productions requiring equipment to be taken off campus needs prior approval from the ACMWO Director before reservation can be made.
- For Only Verified and Certified ACMWO Students
- Only certified students may request to borrow equipment.
- Reservations must be made at least 24 hours in advance.
- Standard checkouts are for a period of 1 day. If you check out a piece of equipment on Monday afternoon, it must be returned on Monday afternoon, Tuesday checkouts must be returned Tuesday afternoon, etc.
- The CM Media center staff has the right to refuse service to student(s) if reservations are not made 24 hours in advance. ACMWO Staff will send a google calendar request confirmation when the equipment has been reserved.
- All reservations will be honored subject to class priority.
- Any equipment requiring certification may not be reserved until the student has been certified for that specific piece of equipment.
- Students must present a valid UH student ID in addition to the ACMWO ID when checking out equipment.

- No equipment will be held if a student does not pick up the reservation item. There is only a grace period of 15 minutes, on the reserved day. If the equipment is not picked up within that time frame, then it will no longer be reserved.
- If a student is unable to pick up equipment, he/she must contact a CM Media Center staff member no later than 15 minutes prior to the reserved time to cancel the reservation by emailing uhwoacm@hawaii.edu or calling the Media Center.
- In the event that the student fails to pick up reserved equipment and/or doesn’t cancel the reservation, the student will be penalized one mark.
- NO-SHOW PENALTY AND LATE PENALTY: Students will receive a mark each time a reservation is neither utilized nor canceled, and also when equipment is returned late or checked in improperly. Upon receiving two (2) marks, that user/student will lose his/her reservation privileges. Upon receiving three (3) marks the user/student will lose his/her Media Center privileges (use of equipment) and/or receive academic reprimand as decided by the supervising instructor/Faculty.
- MISUSE / ABUSE PENALTY: Any individual, at any time, may be denied use of the CM Media Center equipment and/or equipment use policies, improper conduct or behavior which is otherwise hazardous or disturbing to others occurs. In order for students to continue to benefit from using the CM equipment we ask students to return the equipment in the same condition as received.
- LIABILITIES: Users/students are liable for lost or damaged equipment. Failure to pay for repair or replacement of lost or damaged equipment in an expeditious manner can result in legal action, failing the class and, in extreme cases, expulsion from class, withholding of degree transcripts not tendered, and a hold placed on your account what will prevent you from registering until restitution is made.

- The equipment will be released on a first come first served basis.
- Student(s) checking out CM Media Center equipment must inspect the equipment together with a Media Center staff member to verify that the equipment is operational and not on the Equipment Use Agreement form, any damage that the equipment has already sustained.
- The borrower and the staff member will then sign the Agreement Form for mutual agreement of the condition of the equipment. Should, for any reason, the student(s) take the equipment from the Media Center checkout area without verifying the operation of the equipment, they will be held wholly responsible for any damage and operational defects to the equipment.
- Check-In – equipment must be returned no later than 15 minutes before the Creative Media Center Closes (Equipment Cage), Monday through Friday. Equipment must be returned to an CM Media Center Staff.
- Check-In / Check-Out Procedures
- Arrive 10-15 minutes early to pick up equipment
- Follow the same building check in procedures. See above.
- TEST the equipment and at the very least, put a battery in the camera to make sure you have a full charge.
- Make sure you have everything before you sign the Equipment Use Agreement form.
- Take inventory before you leave the Media Center.
- The Media Center will check the equipment and take inventory.
- Report any faulty or damaged equipment.
- Expect this process to take 15-20 minutes.
- Remember Media Center hours.
- NEVER LEAVE EQUIPMENT UNATTENDED. Camera and other video equipment are prime targets for theft.
- NEVER USE THE EQUIPMENT IN “RISKY” ENVIRONMENTS. “Risky” locations are defined as, but not limited to any time of airborne devices or locations including airplanes, helicopters, skateboards, motorcycles, roller blades, etc. Final determination of “Risky” environments shall be the sole discretion of the CM Director.
- ONLY CLEAN THE LENS AND VIEWFINDER WITH THE SUPPLIED CLOTH AND SOLUTION. There is a high probability of scratching and permanently damaging the lens without the proper cleaning materials.
- The viewfinder lens has a special coating on the top of it. Use only the lens cloth and the lens solution provided. If you cannot get the lens clean, the media center staff will clean the lens for you.
- NEVER AIM THE CAMERA’S VIEWFINDER, LCD SCREEN OR LENS DIRECTLY AT A STRONG LIGHT SOURCE OR LASER. This includes the sun, the reflection from the sun off an object, a strong lamp, or other lighting element(s).
- NEVER POINT A LASER INTO THE LENS OR POINT THE LENS INTO DIRECT SUNLIGHT! This will damage the SENSOR CHIP.
- NEVER PLACE THE CAMERA NEAR A MAGNETIC FIELD. The magnetic field will erase your media and damage the camera.
- ALWAYS PUT MISC. EQUIPMENT SUCH AS LENS CAPS, STRAPS, ETC IN THE CAMERA BAG. It is too easy to lose or forget such items.
- NEVER STORE CAMERA IN THE CASE WITH THE BATTERY AND CARDS INSERTED! Battery will lose its charge and shorten its usable life! The card can become corrupted.
- NEVER FORCE ANYTHING. If something you are attempting to do requires any amount of excessive force, STOP and review your methods.
- NEVER OVER TIGHTEN! This may cause the stripping of threads and/or encourage the use of excessive force that can damage the equipment.
- NEVER LEAVE THE CAMERA EQUIPMENT EXPOSED TO ANY HEAT SOURCE! (E.g. – in the trunk of a vehicle) Electronic equipment is very sensitive to heat.
- NEVER TAKE ACM MEDIA CENTER EQUIPMENT OFF OF CAMPUS!
- As the borrower of the equipment, you are solely responsible for the equipment while it is checked out.
- Do NOT leave the equipment unattended.
- Do NOT loan the equipment to any other individual, regardless of his or her affiliation with the University of Hawaii West Oʻahu
- Do NOT Tamper with the equipment hardware or software.
- Treat the equipment accessories with the same care and attention as the equipment.
- Report IMMEDIATELY any loss, damage, or malfunction of the equipment to the ACMWO Staff.
- Return the equipment, in the SAME condition as when it was checked out, in person to the Creative Media Lab Manager and/or directly to a Creative Media Staff Member.
- The University of Hawaii West Oʻahu is not responsible for any files, personal information, or passwords that are left on the equipment.
- All data that was accessed or stored on the equipment will be erased once the equipment is returned to the Creative Media Lab.
- Damaged or lost items will be charged to the borrower.
