UH West Oʻahu Grant Technology Support

UH West Oʻahu IT will help you with the planning and purchasing of technology that you need to support your grant. The best path for you to start your grant technology purchases is to meet with one of our IT staff. This meeting should be like a kick-off meeting so that everyone is on the same page and the IT staff can help pick out the appropriate technologies to fit your needs.

Process

To make things easy for you, these are the steps for you to get help with your grant.

  1. When you work on your grant’s budget, please contact us through the IT Help Desk Ticketing System. Please give us some information about your grant.
  2. One of the IT staff will meet with you about your request. It would be helpful if you share your goals for the grant and how you want to accomplish these goals.
    • The IT staff will have to research and talk to other people about your request. After they do this, the IT staff should give you a spreadsheet of the technology that you need and an estimated cost that you can use for your budget.
  3. Please use that budget for your grant and if you made adjustments, please let the IT staff that helped you know. It would be helpful if you keep in contact with the IT staff.
  4. If your grant is approved, please let the IT staff know. We can start the purchase process (researching the costs, Superquoting if needed, VPIT approval if needed, and data governance if needed). IT will give you all of the documents that you need to get a PO.

    • TSR (Technology Solution Request) for your purchase
    • Data governance approval (if needed)
    • OVPIT technology approval (if needed)
    • Delivery address
  5. Once you get all of the purchasing documents from IT, you can submit them to your admin officer.
  6. All technology items will be delivered to IT. You will be notified when they arrive and are ready for you to pick up.

Frequently Asked Questions

  • Please remember that we are just asking questions so that we can ensure that you get the correct technology. 
  • A justification is requested because the IT Help Desk does not know what was approved for your grant or why the requested technology item was selected especially if we did not help you with your grant’s budget. 
  • TSR is required for your PO at UHWO. The TSR tells the Business Office that your technology has been reviewed and is okay to be purchased.
  • As part of the purchasing of technology and EP 2.214 Institutional Data Classification Categories and Information Security Guidelines, UHWO IT is required to check if your technology item will require a data governance approval If you are going to use University data and store it, a  data governance approval is required. 
  • UHWO IT will assist you with the filing of the data governance paperwork. The IT staff will need to ask you questions so that they can complete the forms for you. Please provide the answers as quickly as you can.
  • Timeline – This process can be quick or long. It will depend on how quickly the form is filed and if there are questions from the data governance office.
