How do visitors and vendors access secured IT areas?

This is a general guideline for visitors (includes vendors, contractors, and any non-IT personnel) to access secured areas that are under the jurisdiction of the UHWO IT department including the main campus server room and each building’s MDF/IDF rooms.

Visitors Must Schedule Visits in Advance
All visitors must schedule with IT at least 2 days prior to visit. Unannounced visits may or may not be accommodated depending on the availability of IT personnel. Please send email to uhwo-it-networks-l@lists.hawaii.edu to schedule.

Visitor Must Check in Upon Arrival
All visitors must check in with IT personnel or Security upon arrival to campus. They must identify themselves with their name, company, purpose of visit and access to what room. If the visitor checks in with Security first, Security will notify IT personnel and someone from IT will escort the visitor. Security will not open any doors without consent from IT personnel.

Visitors Will be Accompanied by a Sponsoring IT Employee or a Designated Sponsor at All Times
All visitors must be accompanied by someone in IT (or someone designated by IT) for the duration of their stay. Special arrangements may also be made to accommodate contractors or vendors on long term assignments. Any special arrangements must be cleared with IT and Security first.

Any visitor found to be in a secured area without an escort will be reported to Security and asked to leave the premises.

Definitions
Secured Area – Includes the main campus server room and any building’s MDF and IDF rooms.
MDF – Main Distribution Frame
IDF – Intermediate Distribution Frame
